Responsibilities

Sourcing and Supplier Management:

• Assist in identifying and sourcing potential suppliers for materials, goods, or services required by the company.
• Establish and maintain strong relationships with suppliers to ensure timely delivery and quality of products.
• Research and evaluate new suppliers to find the best options in terms of price, quality, and reliability.

Purchase Order Management:

• Raise and process purchase orders (POs) for materials and products in accordance with business needs.
• Monitor the order cycle to ensure timely delivery and resolve any issues that may arise during the process.
• Coordinate with suppliers to ensure the availability of goods and services when required.

Inventory Control and Management:

• Assist in managing inventory levels and ensure stock levels are maintained to meet operational needs.
• Track inventory usage and prepare reports on stock levels, reorders, and stock-outs.
• Ensure that goods are received on time and in the correct quantities, and coordinate returns or replacements if necessary.

Vendor Communication and Coordination:

• Follow up with vendors on the status of orders, shipping details, and delivery schedules.
• Communicate effectively with suppliers to address any discrepancies or delays in orders.
• Keep track of contracts, agreements, and pricing terms with suppliers.

Documentation and Record-Keeping:

• Maintain accurate records of all purchase orders, invoices, and other procurement-related documentation.
• Prepare purchase reports and provide them to senior management to track spending and procurement efficiency.
• Ensure that all procurement-related transactions are documented according to company policies.

Cost and Budget Management:

• Assist in managing purchasing budgets by ensuring that goods are purchased within budgetary constraints.
• Help identify cost-saving opportunities by negotiating with suppliers for better prices or discounts.
• Monitor market trends and supplier pricing to ensure the company gets the best value.

Quality Control:

• Assist in ensuring that purchased items meet the required quality standards.
• Handle any discrepancies or issues regarding product quality and work with suppliers to resolve them.

Collaboration with Other Departments:

• Work closely with the inventory, finance, and operations teams to ensure smooth supply chain operations.
• Support in coordinating the timely delivery of goods to the correct departments or locations.

Market Research:

• Stay updated on industry trends, supplier innovations, and new products that may benefit the business.
• Conduct research to help make informed purchasing decisions.

Compliance:

• Ensure compliance with company purchasing policies, legal requirements, and ethical standards.
• Assist in monitoring and ensuring that procurement processes are carried out efficiently and according to company regulations.
