Responsibilities

Onboarding:-

  • Ensuring all checklists are completed for the pre boarding and onboarding process.
  • Make sure new joiners’ details are shared with all respective stakeholders to be prepared to welcome them to the team.
  • Ensuring all pre-activities are carried out as per the checklist
  • Follow up with candidate on documents & requisite data post offer release
  • To be one point of contact for new joiners until they are settled in their routine work
  • Welcome new employees upon their arrival and give them an office tour.
  • To ensure all stakeholders are following the agenda and timing
  • Follow up for missing documents, original document verification, employee file documentation.
  • To support new joiners in logging in the company portals & to ensure the new joiners has the necessary confirmation on the system, logins created
  • To check with new joiners on a weekly interval on any assistance required and to take action on it.
  • Onboarding Survey to be conducted on Day 2, post completion of 30-60-90 days. To discuss with various stakeholders to implement the action items
  • To share the organization chart, Job description and necessary details with new joiners
  • Address new hires’ queries regarding their contracts and payroll.
  • Updating the HRMS with new joiner details
  • To coordinate with external vendors for necessary requirements linked to onboarding process
    Employee Experience
  • Design, develop, and implement employee experience programs and initiative
  • Monitor the effectiveness of programs and adjust strategies as needed
  • Conduct regular employee surveys to gauge satisfaction levels and identify areas for improvement.
  • Analyze survey results and develop action plans based on feedback to address concerns and improve employee experience
  • Organize regular team-building activities and events to strengthen relationships and promote a positive work culture
  • Develop and implement employee recognition programs to acknowledge achievements and contributions.
  • Maintain accurate records of employee experience activities and outcomes to prepare reports on metrics, trends, and progress towards goals.
  • Biweekly or monthly employee experience management reports.

Exit Process
  • Conduct exit interviews with departing employees to gather feedback on their experiences and reasons for leaving.
  • Proactively identify reasons for leaving and work on areas where improvements are required.
  • Coordinate with relevant departments to ensure that all accounts, access rights, and benefits are terminated or transferred appropriately.
  • Maintain records of exit interviews, departure dates, and reasons for leaving for reporting and analysis purposes.
  • Ensure compliance with company policies, procedures, and legal requirements throughout the exit process.

Other Requirements

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Mandatory 1+ Years of Experience in Onboarding
  • Familiarity with HR processes
  • Proven work experience as an HR Onboarding Specialist/Executive
  • Proficiency in MS Office applications and understanding of HR Software like HRMS.
  • Knowledge of statutory regulations and compliance requirements.
  • Good understanding or learner of Labour laws.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and confidentiality.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work well under pressure.
