Responsibilities

  • Reception and Guest Services:

    • Greet and assist visitors, clients, and employees in a professional and friendly manner.
    • Manage the front desk area, ensuring it is clean, organized, and welcoming.
    • Handle inquiries and direct visitors to the appropriate departments or personnel.
  • Telephone and Email Management:

    • Answer phone calls promptly and professionally, redirecting calls as necessary.
    • Take accurate messages and ensure timely communication with relevant parties.
    • Manage general inquiries via email, ensuring responses are professional and timely.
  • Scheduling and Appointments:

    • Schedule appointments and meetings for executives and staff members, managing their calendars.
    • Coordinate room bookings, ensuring all necessary materials or arrangements are in place.
    • Send reminders and confirmations for scheduled meetings.
  • Office Administration and Support:

    • Perform general administrative tasks such as filing, photocopying, scanning, and faxing.
    • Manage office supplies, keeping track of inventory and placing orders when necessary.
    • Assist in preparing documents, reports, and presentations for meetings or events.
  • Mail and Courier Handling:

    • Receive, sort, and distribute incoming mail and packages.
    • Coordinate outgoing mail, courier services, and deliveries.
    • Maintain a log of received and sent mail, ensuring all packages are delivered to the correct recipients.
  • Visitor Management:

    • Maintain a log of visitors and ensure security protocols are followed (e.g., issuing visitor badges).
    • Coordinate parking arrangements for visitors, if applicable.
  • Support for Events and Meetings:

    • Assist with organizing company events, meetings, or conferences held in the office.
    • Prepare meeting rooms, including setting up necessary equipment (e.g., projectors, conference calls).
    • Serve refreshments or manage catering for events when needed.
  • Maintain Office Security:

    • Ensure that all visitors are logged in and out of the building as per company protocols.
    • Alert security staff or management of any unusual activities or security concerns

Other Requirements

  • Is fluent in English and can communicate confidently
  • Has a smart & professional appearance
  •  Is comfortable being featured in Cigma's social media videos & reels
  • Knows how to groom & dress professionally (Front Office is the face of the organization!)
  • Females preferred
